01Who this policy covers

This Privacy Policy applies whenever you visit mentiontracker.ai, create an account, or use Mention Tracker (the “Service”), operated by Mention Tracker. It explains what personal information we collect, why we collect it, and the choices you have. By using the Service, you agree to the practices described here.

02Information we collect

We collect only what we need to run the Service:

  • Details you give us — your name, work email, company, and billing information when you sign up, subscribe, or contact us;
  • What you track — the brands, prompts, and competitors you choose to monitor;
  • How you use the Service — pages you visit, features you use, and basic device and browser information;
  • Messages you send us — support requests and anything else you share with our team.

03How we use your information

We use your information to run and improve the Service, generate your AIO analytics, process payments, manage your subscription, keep the platform secure, and meet our legal obligations. If you opt in, we’ll also send occasional product news — you can unsubscribe anytime. We never sell your personal information.

04Queries we send to AI models

To measure where your brand appears, we send prompts to third-party AI assistants — currently Claude (Anthropic) and Gemini (Google) — and record their answers and the sources they cite. We may add other assistants over time. These prompts are built from the topics and brands you track and generally don’t include your personal information. Each provider handles the queries it receives under its own privacy terms, which we don’t control.

05Cookies and analytics

We use a small number of cookies to keep you signed in, remember your preferences, and understand how the site is used so we can improve it. You can manage or block cookies in your browser settings. We rely on privacy-respecting product analytics and don’t run third-party advertising trackers.

06How we share information

We share personal information only with trusted service providers who host our infrastructure, process payments, or help us support you — each under contract and only for those purposes — and with the AI providers above to run your queries. We may also disclose information where the law genuinely requires it. We never rent or sell your data to third parties.

07Data retention

We keep personal information for as long as your account is active and as long as we need it to provide the Service. After you close your account, we delete or anonymise your data within a reasonable period, unless we’re required to keep some of it to meet a legal, tax, or security obligation.

08How we protect your data

We protect your information with encryption in transit and at rest, strict access controls, and regular security reviews. No system is ever perfectly secure, but we work hard to safeguard your data — and if a breach ever affects you, we’ll notify you and the relevant authorities as the law requires. 09Your rights and choices

Depending on where you live, you may have the right to:

  • access the personal information we hold about you;
  • correct anything that’s inaccurate;
  • export your data or ask us to delete it;
  • object to or restrict certain processing, and withdraw consent you’ve previously given.

10International data transfers

Mention Tracker operates globally, so your information may be processed in countries other than your own — including where we and our service providers operate. Whenever we move data across borders, we use appropriate safeguards, such as standard contractual clauses, to keep it protected to the standard described in this policy.

11Children’s privacy

The Service is built for businesses and isn’t intended for anyone under 18, and we don’t knowingly collect personal information from children. If you believe a child has provided us with their information, contact us and we’ll delete it promptly.

12Changes to this policy

We may update this Privacy Policy as the Service and the law evolve. If a change is significant, we’ll let you know by email or in-app before it takes effect. The “last updated” date at the top always reflects the current version — please check back from time to time.
